Hi, everyone!
Here’s your latest Ace Acres update as we get closer to our Annual Shareholder Meeting and Election!
Our Annual Shareholder Meeting will be held Saturday, September 12, 2026, from 9:00 AM–12:00 PM at the Rec Hall.
For our newer shareholders: Each year, Ace Acres holds its Annual Shareholder Meeting on the second Saturday in September. Ahead of the meeting, shareholders are given the opportunity to run for open Board and Officer positions, and each shareholder receives an official ballot so they can have a voice in the election of our Board.
This year, we are looking to fill:
3 Board of Directors positions (+ 1 alternate) — 3-year terms
Secretary — 1-year term
Treasurer — 1-year term
To vote, you must be a Member in Good Standing. At this time, everyone receiving a ballot is eligible to vote.
A reminder regarding nonparticipation fees: Beginning next season, any shareholder who has had two out of three years with nonparticipation fees will be considered a Member Not in Good Standing under our current Rules. This means they will be ineligible to vote or sponsor an applicant for the following season.
I have already mailed ballots to the following Lots because I know these shareholders will not be at the park this weekend/season:
Lots 4, 5, 10, 21, 40, 46, 49, 50, 70, 74, 85, 99, and 100.
All other ballots will either be hand delivered if you are at camp this weekend or mailed to the address we have on file this Saturday.
Once you receive your ballot, there are several ways you can return it:
Hand deliver it to Erin, Secretary — Lot 16
Mail it using the provided return envelope to the address listed
Hand it in at the Annual Shareholder Meeting on September 12th
Drop it in the Ace Acres Secretary/Treasurer mailbox located INSIDE the Rec Hall at the 2nd doorway
A big THANK YOU to Pat Murphy for installing the mailbox for us! It will make returning ballots much easier for those who are at camp.
Please remember to leave your Lot number on the ballot envelope. Ballots can only be counted if the Lot number remains on the envelope. As ballots are received, the Lot number will be marked over before the ballots are given to those responsible for counting and tallying them.
I will be holding Secretary Office Hours this Saturday, August 22, at 10:30 AM in the Rec Hall.
If you would like to help with administrative work to earn your hours, please come join me! There is plenty to do, including:
Hole punching
Removing staples
Filing
Sorting
Hanging items on bulletin boards
Updating the whiteboards
Labeling
Stuffing envelopes
I also need help with some shareholder deliveries and follow-up, including:
Delivering ballots
Delivering new Share Certificates
Delivering keys
Delivering various forms
Checking in with shareholders
Getting signatures
And I could really use someone to help hang the bulletin board back up in the Rec Hall.
If you have some time to lend a hand, please stop by! Even an hour or two of help makes a big difference. Please bring a snack to share!
We will also need some volunteers to help everything run smoothly on September 12th. If you are available to help before or during the meeting, we could use:
Someone to order/pick up donuts and coffee
Someone to take attendance
Someone to hand out paddles
Someone to hand out parking permits
Someone to count the ballots
3 people to tally the ballots during the meeting
Volunteers to help set up before the meetin

Hello, everyone!
I have several important camp updates and reminders to share with everyone. Please take a moment to read through the information below.
If you would like your ballot delivered to camp, please let me know!
We are also looking for shareholders who may be available to help deliver ballots at camp. If you are able to help, please reach out to me. Time spent delivering ballots will count toward your required work hours.
When returning your ballot, please make sure your Lot number remains on the envelope.
Ballots cannot be counted if the Lot number is missing.
As ballots are received, I will cover the Lot number on the envelope with a Sharpie. The ballots will then be removed from their envelopes before being given to those tallying the votes. This allows the Lot number to be verified while keeping the identity of the voter confidential during the counting process.
Any ballot received without a Lot number will be disposed of and will not be counted.

The agenda will be provided ahead of the meeting by email and will also be posted on the website.
I am currently working on a virtual option for shareholders who are unable to attend in person. Please note that the virtual option will be viewing only. Virtual attendance will not count toward our quorum.
As a reminder, we cannot proceed with the meeting or voting unless we have a quorum of 25% of the park in attendance. Only shareholders attending in person will count toward the quorum.
Your attendance is important!

The Chicken BBQ scheduled for Labor Day Weekend has been cancelled.
We are looking forward to having another Chicken BBQ during the 2027 camping season!
On Saturday, August 29th in the evening, I am considering hosting an Ice Cream Sundae & Movie Night in the Rec Hall.
If this is something you and your family would be interested in, please let me know! If there is enough interest, we will make it happen.
Every share will be issued a new share certificate this year.
We have not yet received the required forms from a number of shareholders. If we have not received your form, please submit it at your earliest convenience so we can make sure your new certificate can be prepared.

Reminder: Lot 68 is currently available to existing shareholders for transfer.
If you are interested in transferring to Lot 68, please contact Erin no later than Thursday, July 30, 2026. After that date, the lot may be offered to applicants on the waiting list.
Unfortunately, the campground dryer is currently out of service. We are actively looking at replacement options and hope to have a new one installed soon. We are specifically searching for an affordable coin-operated replacement. Thank you for your patience!

Great news! The trails are approximately 90% cleared and ready to enjoy!
The Trail Committee is looking for volunteers to help weed whack the center of Ace Trail (the trail beyond the wood pile). It's a great opportunity to earn your campground work hours!
A few reminders while using the trails:
No smoking on the trails or in the woods. Conditions are extremely dry, and we want to do everything we can to prevent a wildfire.
Please pick up after your dog. Besides being unpleasant to step in, dog waste can attract wildlife.
Thank you to everyone who has helped get the trails back into great shape!
The campground speed limit is 10 MPH.
This applies to all motorized vehicles, including:
Cars and trucks
Motorcycles
ATVs
Golf carts
Mini bikes
Any other motorized vehicle with wheels
Please remember:
No drinking and operating any motorized vehicle.
Anyone operating a golf cart must possess a valid driver's license.
Let's all do our part to keep the campground safe for everyone.
Please remember that both people and pets must stay out of the Sod Farm fields.
This is part of our agreement with Tuckahoe Turf Farms, and we appreciate everyone's cooperation in respecting our neighbors and their property.
If you choose to smoke marijuana while at camp, please do so inside your own camper and be mindful of those around you.
Several members have mentioned that the odor has been traveling throughout the campground. Thank you for being considerate of your neighbors.
A few reminders to help keep both our pets and neighbors happy:
Dogs must be on a leash at all times when outside your camper.
Please have your pets sleep inside your camper with you.
Do not leave dogs unattended outside overnight.
We've recently heard several anxious dogs barking and crying after being left behind while their owners were away. We absolutely want everyone to enjoy their time at camp, but please remember that your dog may become distressed when left alone, and prolonged barking can disturb nearby campers or cause concern for your neighbors.
Thank you for helping make the campground enjoyable for everyone—both two-legged and four-legged!

Each committee will consist of approximately 3–4 volunteers working alongside an assigned member of the Board of Directors and providing updates to the Board as needed.

Subject: Welcome to the 2026 Camping Season at Ace Acres!

It's that time of year again! Time to get back to Ace Acres!
Camp officially opens on Friday, May 1st, 2026!
Reminder to remove all covers from your campers stored at Tom's lot by April 25th so he can transport the campers the week before camp opening!
The park is in good shape this year. Tree cutting was completed the week of April 13th.
Ridlon Road was recently graded so the road is in good shape!
On Saturday April 18th, some cleanup of the park was done in preparation for opening day. Some of the lots may still contain branches/brush resulting from the tree trimming & cutting. Once camp opens, we can schedule work parties to finish the cleanup.
Shareholders are welcome to clean up their lots before their campers are returned to the park. Remember that brush should be brought to the burn pile, while leaves & pine needles should be dumped at the back of the park.
Water - The system will be inspected and will be fully live for the May 1st opening.
Overnights - Please keep in mind and respect that opening day for overnights begins May 1st . We are all expected to adhere to this date! We all have a responsibility to our fellow shareholders to honor our responsibilities and rules in the park, as to keep our Ace Acres running smoothly and not put our park at risk.
Keys - We have the same keys for the gate and rec hall as last season. If you do not have copies of these keys, please contact Erin DiCarlo, and we will make arrangements to get you copies.
Work Parties - We will gather together in order to get the Rec Hall opened and complete the other usual tasks to get ready for opening the park. Stay tuned for our first official work party - to be announced at a later time.
Note from the Secretary:
If you are interested in turning in your share, the official way to do so is by filling out the Sale of Share/Lot Turn-In Form and turning it in to the secretary via email, mail or in person. Contact information is below. From there, I will provide direction on next steps.
All shareholders sponsoring an applicant are responsible for ensuring their contact information is up to date. All sponsors must be members in good standing. Wait List
Please make sure that all golf carts, sheds, tree removal, etc. goes through the proper channel - most require Board approval and/or paperwork, located here.
We will be reissuing Share Certificates this season. This is a major task and we hope you will be patient with us as we navigate. More information to come!

Some important updates for you all!
A black bear was seen on one of the trails today. Please remain vigilant. 🐻
A cell phone was found on the wood pile where the resident of the last house on Ridlon Rd sells bundles of wood. If you stopped to purchase wood and may have left your cell phone behind, the resident of that home has it.
The last day to give a check to Donnie, Lot 34, for Camper Storage with Tom Boucher is on September 26th. If you do not have Donnie pass it on to Tom, please reach out to Tom for other payment arrangements.PLEASE REMEMBER: You must fill out a waiver to have your camper stored with Boucher Construction. The cost is $350. Every camper should have their current Lot number on their camper.
Ballots can be turned in to Erin, Lot 16- in person, by mail, or left in the Secretary Mailbox "Lot 101" at camp. If you have not received your ballot yet, please contact me to make arrangements to receive one if needed. Ballots can also be held and handed in at the meeting on Saturday September 13th.
New Certificates going out next season as indicated in the mailing you received do not have a fee. Once we know everyone has a Certificate in hand and everything is correct, we will begin charging again. Everyone is to be issued a new certificate next season.Please fill out the form and return it to Amy Sarro or myself.
This Saturday, 9/6/25, I was to host a "Clean Out Your Fridge" Pot Luck lunch at the Rec Hall. I am not sure I will be able to make it to camp for lunch time, so I would like to reschedule. However, I do intend to be up in the evening and would love to have a hang out session and share snacks together after dinner if anyone is around!?
CALLING ALL CARPENTERS!!!
If you have carpentry skills, Ace needs you. The new windows were installed, however they still need to be trimmed. Brand new exterior doors also need to be hung, and the back side painted.
While these are not glamorous tasks, they need to be done. In the event we can't get Ace members to get carpentry tasks completed, in the future we may need to consider outsourcing certain jobs.
